Association Manager

The role

You run Tamarack Trails day-to-day. The Board sets direction and policy–how the work gets done is your call, and yours to answer for. 

Boards rotate and residents move in and move on. The Association Manager is the constant. That’s why we hire for judgment and why we give you the chance to build and develop your own team. 

Importantly for our vibrant community, you provide consultation and support to our resident-led Board and committees while focusing on problem-solving and communicating with transparency. Since the residents of Tamarack direct major projects and priorities through its Board, committees and working groups, our Association Property Manager needs to have the ability to work and collaborate within this framework as a consultant with a customer-first approach.

We’re a small and tight team: you, an Office Manager, and the maintenance and grounds teams. You’ll lead from the front and stay close to the work. Working in close partnership with the Board and committees, your recommendations carry weight and your results show up fast.

What you run

  • The team: Hire, develop, and supervise the maintenance, grounds, and office staff. Design the systems that let a small team work efficiently and take care of its records. 
  • Day-to-day operations: Own the operation end to end: pool and clubhouse, vendor bids and contracts, incidents and damage claims, and the procedures behind all of it.
  • The funds: Lead the annual budget and the thirty-year capital plan with the Finance Committee. Oversee billing, payables, audits, and insurance coverage. Give the Board monthly reporting it can act on.
  • The property: Direct maintenance and landscaping across 58 acres and 320 homes, from summer grounds care through winter snow removal.
  • The residents: Be visible and approachable, respond to requests and complaints with consistency and fairness, and apply policies and bylaws evenhandedly. Enforcement and hospitality are both part of this job. These are your customers and your employers.
  • Board operations: Attend Board and committee meetings, send notices, agendas and materials, bring recommendations and information rather than open questions, advise on Association policy, and deliver the monthly Manager’s report.

Who we’re looking for

An experienced, collaborative leader who will share our pride of place.

What you need

  • Three or more years in property or community association management, hospitality/hotel management, real estate or a field close enough that you can show us the parallel.
  • Five or more years leading people, with real accountability for hiring, performance, and development.
  • Hands-on budget ownership: annual preparation, administration, and long-range planning.
  • Project management and strong organizational skills.
  • Clear, plain writing and speaking. You will explain the same decision to a vendor, the Board, and a frustrated resident in the same week.
  • Working familiarity with residential maintenance, exterior construction, and landscaping. You don’t need to swing the hammer, but you need to know good work from bad.
  • Discretion with confidential resident and employee information.

What would set you apart

  • The judgment to be firm and warm at the same time.
  • A track record of raising a team’s standards, not just keeping the schedule filled.
  • Experience with non-profit boards, on either side of the table.
  • CMCA, AMS, or PCAM credentials, or the appetite to earn them.

Grounds Supervisor (Full Time)

As a working Supervisor, you and your team keep our grounds looking sharp year-round. You make sure landscaping/maintenance requests get done on time and in a quality way. During warmer months, you also oversee seasonal crews and contractors. You report to the Association Manager and work in cooperation with the maintenance team, as well as with the resident-led Maintenance Committee. You communicate often and courteously with Tamarack residents and contractors.

Your duties:

  • Organizing the Association’s grounds and landscaping projects
  • Helping develop Association and resident landscape plans
  • Scheduling and coordinating landscape replacement projects
  • Ensuring that grounds equipment is well maintained
  • Hands-on landscape maintenance, such as edging and mulching beds, trimming/removing shrubs and small trees, replacing when needed, and trimming growth from wooded areas.
  • Regrading soil, seeding lawns, planting and maintaining new plants, weeding/watering common area flower beds, fall gutter cleaning.
  • Rebuilding and maintaining rock walls.
  • Performing snow removal from private sidewalks and in front of garage doors.
  • Coordinating, evaluating and overseeing staff and contractor snow removal from city sidewalks and trails.
  • Ensuring the snow removal equipment is well maintained.
  • Supervising, training, and hiring grounds technician(s).

 

Required: Minimum high school education or equivalent. Ability to lift 70 pounds from the ground to waist level. Skilled in the use of a hand tools and gas-powered pruning equipment. Minimum of 2 years’ experience in grounds maintenance. One year of prior experience directing of grounds work crew. Good communications skills. Familiarity with tree, shrub and flower varieties, as well as well as their selection and care. Ability to drive bobcat/skid steer. Must pass background and driver’s record check.

Residential Maintenance Technician (Full Time)

Taking good care of the homes on our 50+ acres, you’ll be part of a team performing maintenance on our residential buildings & grounds for this self-managed HOA. We provide the tools and equipment for you to do a professional job using cost-effective and energy efficient methods. You report to the Maintenance Supervisor and work in cooperation with other team members. You also have courteous communications with residents and contractors you may encounter during the day.

Your duties:

  • Completing interior and exterior building maintenance requests.
  • Replacing exterior wood trim and fences.
  • Roofing, siding, and exterior home repairs such as painting, staining, post lights, gutter cleaning, etc.
  • Interior maintenance and small projects such as painting, moving furniture, changing light bulbs, window cleaning, etc.
  • Any other residential building maintenance tasks as assigned.
  • Performing snow removal & salting operations from sidewalks & drives. Will require coming in on weekends when it snows.
  • Assisting with any other building, grounds or pool related maintenance as assigned.

 

Required: Minimum high school education or equivalent. General knowledge of building maintenance and repairs. Skilled in the use of hand tools, and small power tools (circular saw, reciprocating saw, jigsaw etc.). Ability to lift 70 pounds from the ground to waist level. Valid driver’s license and dependable vehicle. Ability to pass background check.
